macOS Storage settings, decoded: what each bar means and what actually works

System Settings → General → Storage is the first place people look and the first place they get confused. Here is what each section can and cannot do, based on hundreds of cleanup sessions.

The recommendations, ranked by real value

RecommendationVerdictWhy
Store in iCloud (Desktop & Documents)⚠️ ConditionalOffloads files but syncs surprises — read the iCloud local-copies guide first
Optimize video/photo storage✅ GoodGenuine win for Photos-heavy Macs
Empty Trash automatically✅ HarmlessFree win, set and forget
Review Files (Reduce Clutter)🟡 TediousWorks, but sorts by date not size — slow for big wins

What the built-in report misses

The grey System Data bar hides the actual problem on most AI-tool Macs: developer caches, model files, simulator images, snapshot bloat. None of it is reachable from Storage settings — that is why our guides exist, one location at a time (start here).

The escalation path that works

  1. Built-in recommendations — take the two green ones above.
  2. Targeted guides — the top offenders (Docker, Claude Code, iPhone backups, Xcode) each have a 5-minute fix on this site; the estimator tells you which are worth it.
  3. Visual survey — when numbers do not add up, see the disk: DaisyDisk vs free alternatives.
  4. Automation — recurring caches go to MacCleaner PRO or a launchd script.

That is the same order we use on our own machines — built-ins for the free wins, targeted guides for the real gigabytes, visual tools for sanity checks.
